We are actively seeking a Dynamic HR and Office Administrator to join our office in Houston, TX!
NGI, Inc. is engaged in challenging offshore assignments both locally and globally. These include full-field geohazard assessments, soil characterization, foundation design for platforms and subsea structures, mooring anchor designs for floating facilities, and pipe-soil interaction.

Job Summary: This role will have a wide range of tasks, maintaining a heavy focus on HR and accounting responsibilities. Performing clerical tasks such as making copies, organizing files, scanning files, uploading documents, and providing support. The ideal candidate can work with frequent interruptions, has excellent attention to detail, and is organized, ethical, and a dedicated professional. Ideal candidates like to have plenty of variety in their work and have more than one task to do at a time, have a high energy level, like to be busy doing things rather than thinking about them, and like getting things done, including dealing with hands-on problems or situations.
Candidates must be able to contribute positively and interact effectively with our Houston, Oslo, and Perth teams and with our clients. Must be reliable and systematic, proactively support the team across all departments, and able to work independently and in a multi-disciplinary team. Strong work ethic, with a friendly demeanor and a willingness to jump into unknown tasks and adapt to changing priorities. Excellent communication and organizational skills are a must.

Key competence: Proven experience in an administrative role, preferably in HR or a related field. Strong organizational skills with the capacity to handle multiple activities and the ability to prioritize tasks and manage time effectively. Must be detail-oriented with a high level of accuracy in data entry and record keeping, reliable, with a high level of initiative, flexibility, and enthusiasm, supported with strong communication and the ability to work both independently and as part of a team in a fast-paced environment. Ability to maintain confidentiality and handle sensitive information with discretion. Knowledge of employment laws and regulations is a plus. Service-minded approach, proactively advising and supporting others. Adaptability and willingness to learn new tasks and take on additional responsibilities as needed. A positive attitude and a collaborative mindset with a willingness to work as part of a team to achieve departmental goals. Excellent communication skills, both written and oral; English proficiency as the main working language. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HRIS (Human Resources Information Systems) Software. Must be 18 years or older. Must have a TX driver's license and reliable transportation. Must have a lawful right to work in the US at the time of application. Typical work tasks:
HR Support: Assist with onboarding activities, including preparing new hire workstations and ensuring a smooth transition for new employees. Maintain employee records, including updating personal information and documentation related to benefits and payroll. Support HR projects & initiatives, such as employee engagement surveys, training programs, and diversity and inclusion efforts. Respond to employee inquiries regarding HR policies, procedures, and benefits, providing accurate information and excellent customer service. Manage HR-related correspondence, including drafting emails, letters, and other communications as needed. Assist with bi-weekly payroll processing tasks, such as verifying timesheets, entering payroll information, updating PTO balances, and ensuring compliance with relevant regulations. Perform general administrative tasks, including filing documents, organizing HR files, and maintaining office supplies. Accounting Support: Review Company credit card expense reports: collect and organize receipts and attach them to reports, and complete expense information. Download monthly ACH invoices and upload them to Accounting ShareFile. Download monthly DNB Bank Statement. Assist with miscellaneous queries. Office Support: Assist with planning and scheduling appointments and company events, placing catering orders, and occasionally running errands. Assist with travel and accommodation arrangements. Draft correspondence and other formal documents; Manage special projects and miscellaneous requests. Maintain office and breakroom supplies and routinely stock and organize supply and breakroom areas. Assist in cleanliness and organization of office, conference room, and breakroom areas; setting up and preparing for meetings, trainings, and miscellaneous office events. Perform any other tasks or functions deemed necessary for the daily operations of the office.
