Executive Assistant and Board Events Coordinator Location Hybrid remote in Atlanta, GA : The Executive Assistant and Boards Coordinator will be the go-to person for the General Counsel legal departments administrative and meeting needs. This position, along with all positions at Equifax follow a hybrid work model and will report to the midtown office 3 days a week.
What you'll do Serve as a direct resource to Equifax Inc. public company board members with regard to meetings, calls and events (e.g. meeting schedules, travel, expenses, conflicts and changes).
Partner with the CEO's office and Corporate Events Team to implement directives related to board meetings.
Meeting-related responsibilities include:
Prepare and distribute meeting invitations and board schedules.
Coordinate logistics for all board meetings and events.
Communicate directly with Equifax Inc. executive officers (C-suite) and members of the public company board of directors.
Attend all in-person meetings and events of the Equifax board and provide on-site logistical support to executives and directors, including:
Source and book offsite venues and/or conference rooms
Coordinate A/V support (video conferencing, WiFi, etc.)
Order meals and refreshments
Make hotel and travel arrangements for board members
Process expense reimbursements for board members
Serve as a resource to internal and external meeting attendees and other stakeholders to ensure timely meeting flow
Troubleshoot unanticipated issues
Lead the preparation and planning for the annual Board offsite meeting (typically held in August/September). Related responsibilities include event contract negotiation and implementation.
OCS team responsibilities include:
Monitor OCS team mailbox
Manage calendar invites for internal and Board-related events
Assist with compilation and distribution of meeting materials
Provide back-up support for preparing, editing, formatting, posting and distributing meeting materials
Maintain organized files
Administrative responsibilities include:
Provide administrative assistance to OCS team members, including calendar management, travel arrangements, payment of invoices, expense reports, print requests, distributing documents for signature, etc.
What experience you need A Bachelor's degree in business administration, project management or a related field or equivalent with more than 5 years of relevant prior experience in similar positions or performing similar duties.
Prior experience working with C-suite executive officers or directors at a public company or large private company is preferred.
Prior events planning experience preferred.
Familiarity with Google office platform is beneficial.
