Job Summary: The Customer Service Specialist will interact with Mi Ranchos customers by addressing inquiries and resolving complaints, by providing a high level of customer support on Mi Ranchos products. This person will be responsible for entering customer orders in the system accurately and timely. They will communicate with the Sales & Production Team accordingly to meet customer satisfaction. They will answer customer inquiries via phone, email and in person. SQF/ Good Manufacturing Practices)Injury & Illness Prevention ProgramMi Rancho products and specificationsMi Rancho CustomersPurchasing order trainingCustomer Relations EtiquetteAccounts payable and receivable process flowMi Rancho Software/ ERP trainingFront Desk/ Visitor Procedures EtiquettePhone EtiquetteEssential Functions/ Duties and ResponsibilitiesConfer with customers by telephone or in person to provide information about products or services, take or enter orders, or obtain details of complaints.Provide an exceptional service to Mi Ranchos customers.Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.Manage customers order entry making sure all the orders have posted into the system accurately and in a timely manner. Verify that all POs received reflect correct pricing, item codes, etc., and match the corresponding order entered in the system; maintain the files.Ensure purchase orders are accurate, and in accordance with any minimum order requirements or restrictions.Responsible for the coordination, production, and timely shipment of export orders. Manages the process and communication between production, warehouse, brokers, and carriers.Works closely with accounting to keep accurate and updated customer information in system.Prepares daily report for the supervisor of activities that happened the day before: i.e., shortages, complaints, order adjustments, discrepancies, etc. and submits by 11am each day.Manage customer complaints following established guidelines and procedures. Follow up with departments involved and with the customer to ensure appropriate changes were made to resolve the customers problem.Responsible for answering customers' questions about products, prices, availability, product uses, and credit terms. Identify and resolve client concerns.Responsible for providing customers and sales with product samples, merchandising and marketing materials. Coordinate shipment with warehouse. Assist R&D in the coordination and shipment of samples.Follow up with proper department and customer to correct any shortages and discrepancies to the confirmed order or PO.Responsible for Employee Tortilla Purchase transactionsSolicit sales of new or additional services or products when applicable or appropriate.Manage office equipment and schedule preventive maintenance as needed.Manage office supplies and keep an adequate inventory.Keep immediate supervisor well informed of issues, projects, etc.Support all aspects of Sales and Marketing department working closely with sales team.Manage customer orders schedule and arranges order days for customers including holiday schedules.Works closely with warehouse department to ensure accuracy and logistics of customer shipments and scheduling of pickups.Other duties as assigned.Location:Mi Rancho, Elk Grove, CA- On SiteTravel Requirements:Less than 5%Typical Working Conditions, Equipment Used, and Essential Physical Tasks:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
