Job Description: We are seeking a detail-oriented and organized individual to assist the management team as a Tenant Move in and Move Out Coordinator. The primary responsibilities of this role will revolve around overseeing tenant move-in and move-out procedures, ensuring smooth transitions and efficient operations within our new tenant residents. Key Responsibilities: Tenant Move-In Procedures: Coordinate and schedule move-in dates with new Residential Tenants, ensuring alignment with lease agreements. Facilitate the completion of lease agreements, rental applications, and other necessary documentation. Coordinate move-in logistics with departing residents, providing guidance on the process and timeline in accordance with lease agreements and condominium rules. Obtain appropriate insurance documents from moving vendors prior to move in date. Set up financials accounts by obtaining all pertinent information required. Work with Accounting to ensure all documents are received and accounts are active. Provide new tenants with keys, access codes, and necessary information about Waldorf Astoria Residences and its amenities. Personally welcome new residents, provide personalized orientation to the property and its amenities, and address any questions or special requests. Tenant Move-Out Procedures: Notify tenants of move-out procedures and timeline according to lease agreements. Coordinate move-out logistics with departing residents, providing guidance on the process and timeline in accordance with lease agreements and condominium rules. Assist with scheduling move in and move out access with companies and ensure all insurance documents are received to enter the building. Conduct final inspections to assess the condition of the common areas and determine appropriate security deposit refunds or deductions, adhering to lease agreements and CC&R's Rules and Regulations. Process security deposit refunds or deductions in accordance with lease agreements and property policies with Accounting. Tenant Communication: Serve as the primary point of contact for residents regarding move-in and move-out procedures, as well as any other inquiries or service requests. Anticipate and exceed resident expectations by providing personalized attention, proactive communication, and swift resolution of any issues or concerns. iaise with property management team members, including concierge staff, maintenance personnel, and administrative support, to ensure seamless coordination and execution of move-in and move-out processes. Maintain open lines of communication with Residential Tenants, building rapport and fostering a sense of community within the Waldorf Astoria Residences. Documentation and Record-Keeping: Maintain accurate records of all move-in and move-out transactions, including lease agreements, inspection reports, and communication with tenants and owners. Prepare and distribute relevant documentation to tenants as needed. Maintain open communication channels with tenants throughout the leasing process to ensure a positive tenant experience .
