Full job description Seneca County Opportunity Center is seeking a detail-oriented Clerical Specialist to join our team. The ideal candidate will assist in various administrative tasks to ensure the smooth operation of the organization. This position will be directly supporting the Transportation department, as well as the organization as a whole.
Responsibilities: Answer and monitor communication equipment (phone, intercom, emergency call, bus base radio, doors). Utilize internal paging system and in-house radios to contact or direct staff; take calls from families; record phone messages as needed. Distribute incoming faxes. Monitor, update, and accept meetings for each conference room calendar. Provide daily clerical assistance to transportation department including, but not limited to: filing; copy and distribute faxes, phone messages or other information to drivers; daily attendance; update route sheets and bus route rosters; accept leave slips for review by Director of Transportation; update goal sheets from current ISP/IP and distribute to transportation staff; update shared calendar to track subs scheduled. Provide clerical assistance to other departments as needed including but not limited to filing, copying, assembling packets, documents or mailings, collection of orders and funds for various events and fundraisers. Assist with lunch counts and tracking system for the School of Opportunity. Greet, screen, and issue badges to visitors; maintain a written record of visitors entering and exiting the building. Provide high level of confidential assistance to the management team as needed. Purchase and maintain surplus of office supplies, letterhead, paper, envelopes, and other supplies for all departments. Arrange for delivery of supplies to outside departments. Monitor and maintain supply inventory. Manage all incoming and outgoing mail and the postage machine. Monitor One Call Now system, create and update subgroups as needed. Maintain inventory and supplies for copy machines, complete work orders for repairs as needed. Maintain routine maintenance, work orders, sign in and out logs of electronic devices. Receive/send and sign for medications transported by transportation staff. Attend all transportation meetings. Report at 7:30AM on all calamity delay and closing days unless otherwise directed. In the absence of the director of transportation: With the approval of the superintendent or head driver, reassign riders, re-route buses, adjust vehicle assignments and arrange for repair/service work as needed.
Requirements: High School diploma or equivalent. Knowledge or experience with computers and software applications including Word & Excel, database, and Zonar. One year experience performing either clerical or receptionist related functions. State of Ohio passenger vehicle drivers' license and minimum liability auto insurance coverage. Experience working in the DD field is a plus. The position is M-F 8 hour days, and requires flexibility to adjust working hours during the day to fit the program needs.
