Job SummaryUnder the supervision of the Department Chair, provides general office and administrative support for faculty, staff, and students of the Bob Cole Conservatory of Music (BCCM); maintains prospective student recruiting/audition software, coordinates multiple prospective music student audition days, coordinates with the University admission office. Manages the room schedule and assists faculty and students with their room scheduling needs; maintains a database of current students that will allow area directors to track their students and their progress towards completion of the program.Key ResponsibilitiesMaintains and updates prospective student recruitment/audition software - Prepares packets for incoming students and organizes mail merges as needed.Coordinates planning and reporting on major audition days for incoming students - Liaison with Enrollment Services and International Admissions to assist incoming freshmen and transfer students with admission processes and coordinate exemption requests.Oversee room scheduling for adjunct professors and students - Maintains department's internal scheduling assignments for rehearsals, student degree recitals, lessons, and performances.Provides general office and administrative work in support of the daily operations of the BCCM -Answers phones and take phone messages; assists walk-in traffic by providing accurate and complete curricular, academic, and performance information to students, campus, and surrounding communities.Knowledge Skills and AbilitiesAbility to prioritize responsibilities, meet deadlines, handle multiple tasks and be a team player. Knowledge of computer systems for word processing, spreadsheets, campus e-mail, database maintenance and entry, and student records access. Excellent interpersonal and communication skills.Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."Education and ExperienceEquivalent to four years of administrative support experience required.Experience with music auditions, rehearsals, and performances preferred.Physical SummarySedentary work - Involves mainly sitting.
