Summary of Job Duties:
The Administrative Specialist III is responsible for coordinating assigned office activities, preparing special reports, and accurate and timely completion of designated duties and responsibilities. This position is governed by state and federal laws, and agency/institution policy.
Qualifications:
Required Education and/or Experience
The formal education equivalent of a high school diploma; One (1) year of specialized training or work experience in business management, business education, or a related field. Other job-related education and/or experience may be substituted for all or part of these basic requirements.
Preferred Education and/or Experience
Multiple student management systems and database support; Knowledge of database programs; Strong word processing and editing skills. Job Duties and Responsibilities
Answer the telephone, greet visitors, and provide information; Monitor and respond to email inquiries; Provide assistance and clarification to potential students, current students, graduates, and/or program affiliates; Maintain applicant/student/graduate files and designated databases and direct individuals to appropriate resources; Collate applicant, student, and graduate data and prepare required internal and external reports as assigned; Prepare and distribute correspondence to applicants, students, and graduates as directed; Assist with supervision of department work-study assignments; Maintain accurate electronic and paper records in accordance with established guidelines and procedures; Provide secretarial and office support for faculty, teaching teams, department committees, and department administration; Perform other duties as assigned. Knowledge, Skills, and Abilities
Ability to prioritize and organize multiple tasks; Knowledge of word processing applications; Ability to proof and correct documents; Ability to perform mathematical calculations and distance visual activities involving objects and people; Ability to assist administration, staff, faculty, visitors, and students; Ability to make quick decisions under stressful situations; Knowledge of office-related operations; Knowledge of computers and software applications; Ability to prepare, present, and review oral and written information and reports; Ability to collate student data and maintain accurate progression reports; Ability to review financial records and prepare reports; Ability to use customer service initiatives for clients and campus communities.
