Description: This recruitment will be used to fill one full-time Administrative Program Assistant position for the The College of Forestry, Forest Ecosystems and Society at Oregon State University ( OSU ).
The Department of Forest Ecosystems and Society brings together biological and social scientists to understand ecological systems, social systems, and the interactions between them. We work in terrestrial to aquatic systems, in wildland to urban settings, and from local to global scales. We provide the scientific basis for management and policy decisions. We conduct creative problem-solving and fundamental research; educate and engage the next generation of scholars, practitioners, and users of the world's natural resources; and share our knowledge and discoveries with others. The purpose of this position is to provide specialized and varied administrative support for the Department of Forest Ecosystems and Society ( FES ), Department Head and Associate Budget Director, and assist with departmental liaison for public relations. This position performs a wide range of office support, academic program support, and technical, administrative, or business-related tasks in support of campus programs and departmental operations. Additionally, this position provides excellent customer service, administrative and general support for administration, faculty, staff, and others in the Department, and assists with marketing, promotion and tenure, hiring processes, conferences, travel, and event support and planning. The employee is expected to present a welcome, competent, congenial, and professional atmosphere that reflects the management style and functions of the office. The incumbent provides direction and lead work to undergraduate student worker(s) performing clerical/office support tasks.
Minimum Qualifications (Staff) / Guidelines (Faculty): Three years of office experience which included two years at full performance level and experience generating documents; and Lead work responsibility or coordination of office procedures.
Requirements : Demonstrated ability to maintain professionalism in a fast-paced environment, coordinating multiple tasks, and shifting priorities with constant interruptions. Demonstrated interpersonal communication skills to effectively represent the department and to serve a diverse clientele (advisors, program heads, faculty, staff, and students). Exceptional organizational skills and the ability to pay attention to detail; strong oral and written communication skills; problem solving, flexibility and the ability to work independently. Demonstrated ability to work effectively in a team setting, as well as independently. Demonstrated ability and experience working with confidential or sensitive information. Experience and demonstrated competency in the use of Microsoft Suite and excellent computer skills including experience with spreadsheets, databases, and Outlook. This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report.
Type: The incumbent works in a traditional office setting during regular hours M-F, 8-5; however, this position may require occasional evening and/or weekend work and occasional outdoor activities in support of student programming. The ability to lift up to 35 pounds consisting of boxes, office furniture or equipment, office supplies, parcels, and/or event supplies is required. Due to deadlines of the University and this office, this position must work under demands of heavy volume and fluctuating workloads during specific times of the year.
