The Senior Training and Quality Assurance Manager ("STQAM") is a visionary leader responsible for establishing, administering, and executing a robust training and compliance program that supports business operations and the training needs of TPS employees while remaining compliant with all policies and procedures. The TQAM and their team work alongside the HR team to create the first impression of TPS and set the standard for the employee experience. The ideal candidate will be highly driven/self-starting, extremely organized, an excellent communicator, an effective motivator, and able to adapt to a diverse demographic with varying learning styles.
ESSENTIAL DUTIES & RESPONSIBILITIES Evaluate current Training and QA program/materials and develop a revised Training and QA strategy to ensure a robust program that provides not only an introduction to TPS's culture, values, and essential job functions but also provides ongoing training opportunities and a library of reference materials for career development across the organization. Supervises Training and Quality Assurance Associate and Maintenance Training and Quality Assurance Manager and assists in overseeing any other TQA employees. Work closely with various departments of TPS including but not limited to Accounting, Marketing, Regional Maintenance and other Property Management personnel to identify areas of opportunity in training staff and promote career development opportunities. Collaborates with the HR department to develop on-boarding and training processes that introduce new team members to TPS, provide a strong foundation for success and establish expectations for conduct and performance. In conjunction with supervisor, works to identify opportunities with new software products to identify enhanced procedures to improve workflow and efficiency of staff. Develop training guides and facilitate product rollout. Leads the Training and QA Team to support Business Managers and Maintenance Supervisors in the training of their on-site staff with the goal of developing staff to be ready to advance when promotion opportunities present themselves. Executes individual and group training with assistance from other TQA team members. Routinely inspect properties and records to ensure compliance with TPS including Fair Housing and address any issues that are identified. Bridge the gap with Regional and Business Mangers to develop improvement plans for each site and employee, as needed. Work closely with HR Department to implement 90-day review programs/standards for each office position and develop/refine documentation to be used by Managers and new hires in this process. Follow up with Managers and new hires at 45 days to determine status of training and to provide additional training as necessary. Provide recommendations to site managers and Regional Managers at end of review period. Maintain and respond to support tickets with assistance from TQA Associate as needed. Ability to enter Yardi's test and bank-end environment to audit and update process and lease forms as necessary. Ability to leverage Yardi to enable streamlined processes for site teams. Work with Supervisor to create a Task Force to review Corporate Policies and Procedures and determine areas that need revisions or are missing. Task force will include other corporate employees as well as seasoned site managers. Assign team members areas to review and upon which to provide comments and make recommendations to the full Task Force. After revisions are approved by Supervisor update written policies and communicate the changes to site staff. Ensure all staff is trained on the new/updated policies. Manage, assess and recommend changes to current Mentorship Program to ensure efficacy. Routinely audit each site's workflow, files, and Yardi records. Provide written reports on findings to Supervisor, Regional Managers and/or Controller as needed. Periodically review internal reporting format and content to identify areas for improvement. QUALIFICATIONS Associates Degree required. BS or BA in Business, Administration, Education or related field a plus. 8+ years of progressive multifamily property management experience, with a proven track record of leadership. 5+ years of team leadership and people management experience. 5+ years experience and proven track record of success developing and delivering effective training and compliance services. Relevant industry designation (CAM, CPM, etc.) and active involvement with associations (NAA, WMFHA, IREM, etc.) a plus. Expert Yardi skills including experience working in Yardi's back-end and test environments. Previous experience in leading a diverse staff. Excellent written and verbal communication skills. Ability to develop and refine Policies and Procedures. Strong understanding of Fair Housing Laws. Self-starting and ability to be self-directed. Ability to interact professionally with residents, other employees, lenders and ownership at all times. Superb problem-solving abilities and willingness to be hands-on when needed; team player. Excellent Office 365 skills. Highly organized and detail oriented; able to organize work, engage in a variety of tasks simultaneously and consistently meet deadlines. Ability to read, write and speak English. Must have a reliable car, valid Washington State driver's license (or ability to obtain one prior to job commencement), a clean driving record and proof of valid insurance.
