The Payroll Specialist's duties will include processing payroll data, calculating wages, withholding taxes, and other deductions, and interface with the accounting department to ensure data continuity between payroll and the general ledger. This position requires excellent organizational skills and attention to detail Must have empathetic communication skills to be capable of relating to individuals at all levels within the organization.
Key Responsibilities: Manages prompt and accurate processing of semi-monthly payroll Including special bonus payroll cycles and manual payroll checks when needed. Maintains detailed notes proactively throughout the pay period to ensure timely and accurate payroll processing. Audits time records to ensure the proper documentation is collected and pay records match accordingly. Complies with third-party, annual payroll audits. Partners with Benefits team members to ensure timely and accurate 401(k) funding and plan compliance Reviews every payroll to verify data accuracy and resolves discrepancies. Maintains human resource and payroll information system records and compiles reports from the Human Capital Management (HCM) system. Tracks all employee changes to aid in accurate record keeping and to support accurate Federal and State Compliance filing. Assists with employee status changes and updates in the HCM Responds to all wage audits, and verifications of employment, both verbal and written, and assists team members in the completion of unemployment claim responses. Partners with Benefits team members on annual 401(k) audit. Stays up to date and maintains compliance with federal, state and local tax, employment, and benefits laws and regulations. Ensures accurate W2, W3, 1095, state and local payroll tax filings. Assists in evaluation of reports, decisions and results of department in relation to established goals. Recommends new approaches, policies and procedures to affect continual improvements in efficiency of payroll and services performed. Partners with the Accounting Department to reconcile general ledger Responsible for registering new state and local payroll tax accounts and maintaining current status with state agencies as needed Helps to maintain personnel records and files in accurate, organized manner Responsible for the onboarding function and reviews for accuracy of employee set up and processing of I-9's. Communicates with all new hires regarding their first pay with the organization and HCM information. Communicates all final pay and contact information to separating staff members as well as a transition guide to aid in benefit offboarding. Education Requirements: Associate degree required Certified Payroll Profession (CPP) or Fundamental Payroll Certification (FPC) preferred Computer Skills: HCM experience (ADP Workforce Now preferred) Proficient with Microsoft Office Suite and Teams; Internet software skills Other Skills/Abilities: At least three years of related experience is required. Excellent organizational skills and attention to detail. Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Working understanding of payroll principles, practices, and procedures. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment.
