Quality check notification to ensure correct commencement triggers and amount for billing was entered correctly. Review license documentation to abstract required term, escalation, and revenue share for landlords and billing information. Enter data into JDE in compliance with requirements to bill, escalate, review and run FAS13 program. Second level review documents of the input entered in JDE. Complete reviews, entry and QC check within acceptable timeframe.
Essential Job Functions
Receive executed SLAs, TLAs and other contracts from the Licensing teams. Review package for completeness and compliance with Corporate standards. In addition to executed License/Amendment agreement, documentation may include forms, exhibits, landlord waivers, letters to comply with specific MLA terms, etc. Review and abstract documents. Complete QC checklist and enter data into JDE.
Receive Rent Commencement Report Daily (PM12 D not A/B) Ensure completeness and correctness of data provided on the report and make necessary adjustments in JDE. Work with License teams to acquire any missing customer correspondence necessary to verify data.
Review documents for revenue share and enter required information for billing in JDE for billing and escalation. Generate letters to the Landlords notifying them of the change in Revenue Share Payments.
Perform Second Level review of documentation and data input into JDE. Ensure quality of data in JDE system meets requirements to bill, escalate, renew and run FAS13 program. Review weekly activity review (WAR) reports and correct any issues that are identified.
Enter information into JDE for back billings or credits as necessary upon record commencement. Work with Accounts Receivable to ensure that back billings are timely and correct per the contract.
Track and update JDE for Renewal Notices received from customers. Review contracts to ensure that Renewal Notices are in compliance with contracts. Escalate any identified issues to the Corporate ?Save Team?.
Monitor Licensing mailbox in Outlook daily. Respond to or escalate all issues for resolution.
Update Quality Control tracker for errors or omissions found during the Execution or Commencement process. Work with Licensing Managers and teams to identify training opportunities.
Ensure that documentation is sent to scanning and filing for use by other corporate functions.
Process corporate reviews/action items for Landowner Services on site abandonment.
Interpret contracts for complex language in relation to terms and conditions of termination, renewals, contingencies and compliance with the Master Lease Agreement and/or SLA.
Responsible for working on special data integrity reports and projects which may fall as an exception to normal processing Maintain service level commitments and high level of accuracy.
Works under monthly/quarterly deadlines to ensure timely billing related to new License and Amendments.
Ensure accurate license data from acquired sites and Crown adjacencies. Validate key financial and operational data from financial models and license agreements and enter into JDE. Take responsibility for identifying and resolving related issues, understanding any new or modified processes.
High School diploma or equivalent
Minimum two (2) years administrative experience in a fast paced, detail oriented profession
Previous experience in Accounting is preferred
Previous experience reviewing Legal Real Estate Contracts preferred
Real Estate contract administration - should understand general Real Estate concepts (Chain of Title, Escalation, Term information, etc.)
Data entry proficiency - must have strong attention to detail
Understanding of basic Accounting concepts - some Accounts Receivable and General Ledger experience helpful
Proficient in Excel and other Microsoft office products
Ability to work in fast paced and changing environment
Ability to multi-task and prioritize work effort
Strong written and verbal communication skills
