The Police Department currently has an opening for an Administrative Assistant. This position will provide technical and administrative support to the Police Department staff by performing a wide variety of secretarial, administrative and office tasks to ensure division objectives are achieved efficiently. Researches and answers specific questions and provides information to assist in the resolution of issues as they arise.
Summary of Duties:
Process and complete detailed forms, correspondence, and reports as directed by the assigned division Captain.
Maintain calendar including scheduling appointments/meetings for the division Captain.
Continually organizes and prioritizes work to ensure deadlines and schedules are met.
Open, review and distributes mail.
Organize travel arrangements and prepare all expense documentation for the assigned Division/Divisions.
Conduct research, gather data, and assist in the preparation of request for essential equipment and/or services. Complete asset forms for acquired/disposed equipment.
Prepare purchase orders, receive orders, contracts as needed, and P-card transaction and reconciliation.
Orders and maintains division supplies.
Assist in coordinating budget preparation and maintains annual budget documentation including budget transfers, general ledger reports, etc.
Monitor assigned division budgets and ensures spending remains within budget. Assist in the preparation reports for the Administrative Manager.
Process timesheets (AS400, LaserFiche, request for reimbursement forms, etc.).
Minimum Qualifications:Formal Education:High school diploma or equivalent GED supplemented with course work in typing and personal computer operations
Some college and/or continuing education coursework is desirable
Relatable Work Experience:Five years secretarial/administrative experience.
Municipal experience is preferred.
Additional relevant work experience resulting in acceptable proficiency levels in the above knowledge; skill and education requirements may be substituted in lieu of specific education requirements.
Training (License and/or Certification):Valid Texas Drivers License
