POSITION SUMMARY:The Regional Administrator (RA) is responsible for providing overall administrative support for theRegional Director and Regional team while leading the Complex and Branch Administrators in theregion. This role enables you to learn about all aspects of the business at a high level, and the widerange of responsibilities presents opportunities to grow skill sets and progress your career within thebusiness.DUTIES and RESPONSIBILITIES:Expense Management SupportPrepare, review and approve Travel & Entertainment (T&E) expenses and Events and Conferences (EnC) expenses utilizing online business systemsCoordinate events and meetings for the Region, including all pre-approvals, event logistics/planning, preparation and distribution of materials, and accounting for meetings including Regional, management, Regional Councils, National Sales partners, external wholesalers, and others as directedMaintain and review Regional finance and expense management informationWork with Accounts Payable to manage invoices, vendor set up/maintenance, payment reconciliations or issuesManagement SupportNavigate firm resources and act as a liaison between the Region and various internal and external business partners, including managing requests and escalating as neededCommunicate and manage firm initiatives for the Region (e.g., Global Volunteer Month, Annual Appeal) as well as other initiatives as directedManage Human Resources processing (I-9 processing, regional team new hire onboarding, etc.)Actively engage in available training and education programs to maintain current status on policies, procedures and risk awareness (including licensing requirements)Proactively participates in firm initiatives directed by regional managementFacilitate and/or conduct ad hoc projects, training, and events for the Region as necessaryRegion Administrative SupportPerform administrative functions for Regional Management team, including telephone coverage, business travel arrangements, coordination of internal and external meetings and events, file and calendar maintenanceLead office management efforts, including maintaining office supplies, ordering business cards and stationery, assisting and maintaining regional business continuity planning, and acting as point of contact for facilities managementAct as a point of contact for real estate and facilities management and various Complex projects (e.g., following up on responses from Complexes, technology projects, migrations, equipment installs/ replacements),Lead various local administrative efforts (e.g., Alternative Flexible Grid (AFG) checkpoints, CPR/AED training and certifications, annual certification of registrations and market data expenses)Assist with firm remediations as neededProvide guidance and point of contact for Complex AdministratorsEDUCATION, EXPERIENCE, KNOWLEDGE, and SKILLS:Education and/or ExperienceHigh School Diploma/EquivalencyCollege degree preferredThree or more years of related experience is a plusKnowledge/SkillsStrong computer skills and knowledge of Microsoft OfficeExcellent verbal and written communication, including telephone coverageStrong time management skillsDemonstrates good judgmentExceptional interpersonal and client service skillsDetail orientated with superior organizational skillsAbility to prioritize workTeam player with the ability to collaborate with othersAbility to work in a fast-paced, evolving environmentAdaptable and ability to multitaskProactive or self-starterAbility to be discreet and maintain confidentiality on sensitive mattersWillingness to obtain Series 7 (GS) and Series 66 (AG/RA) or Series 63 (AG) and Series 65 (RA)Reports to:Regional Director and / or Regional Business Service OfficerMorgan Stanley's goal is to build and maintain a workforce that is diverse in experience and background but uniform in reflecting our standards of integrity and excellence.
