We're looking for a versatile professional who will play a key role in our hiring process from start to finish, while also providing administrative support to our dynamic Corporate Office and Leadership Team.

Responsibilities:
- Collaborate closely with Facility Managers, Site Managers, and Hiring Managers to understand and meet specific hiring needs on an ongoing basis.
- Maintain open and clear communication with internal and external candidates, managing expectations throughout the recruitment process via our applicant tracking system, email, and phone.
- Accurately update and maintain internal tracking databases in a timely manner.
- Assist with various recruiting functions, including applicant tracking system maintenance, participation in recruiting meetings, pre-screening, and interview scheduling.
- Participate in recruiting events as needed.
- Support contract transitions and incumbent capture efforts.
- Handle phone inquiries and direct calls appropriately.
- Organize appointments, meetings, and take detailed minutes.
- Maintain up-to-date contact lists and filing systems.
- Provide general support to visitors and respond to inquiries from managers and employees.
- Type, word process, copy, distribute, and fax documents, memos, letters, forms, and correspondence.
- Assist in the preparation of regularly scheduled reports.
- Research and set up office supply vendor company-wide.
- Manage the company's UPS account, including billing and maintenance.
- Track and maintain records of issued equipment (phones, computers, etc.).
- Liaise with senior management and the senior administrative team to handle requests, calendars, and inquiries.
- Perform other duties as assigned.
Qualifications:
- 3+ years of experience in recruiting or a related field, with a demonstrated successful track record.
- High School Diploma or GED.
- Logistics experience is preferred, but not required.
- Familiarity with applicant tracking systems is a plus.
- Self-motivated, with strong attention to detail, focus, and commitment.
- Excellent organizational skills and the ability to coordinate, balance, and prioritize multiple tasks and departments in a collaborative team environment.
- Proven ability to manage competing priorities for various stakeholders, including applicants, employees, and customers.
- Strong problem-solving skills and the ability to exercise sound judgment.
- Ability to thrive in a fast-paced, high-stress environment while working efficiently and adapting to evolving business needs under tight deadlines.
- Proficient knowledge of office management systems, equipment, and procedures.
- Advanced proficiency in Microsoft Office suite (Excel, Word, PowerPoint, Outlook).
- Excellent written and verbal communication skills, with the ability to interact effectively with personnel across multiple locations.
This is a full-time, non-exempt (hourly) day shift position, with a hybrid work arrangement (combination of in-office and remote work).
