HR Operations SpecialistThe Human Resources Operations Specialist supports all HR functions, with a strong focus on systems, benefits and operations. This multifaceted role will also assist the recruitment and employee engagement functions and provide departmental administrative support and assistance with various human resources projects.The ideal candidate will bring sound judgment, a high level of organization and attention to detail, and have the ability to effectively manage HR workflows with professionalism and discretion.ResponsibilitiesHR Benefits & Operations:Process data changes in HR systems, including our HRIS (UKG) and performance management software (Lattice)Generate regularly scheduled reports from our HR system, as well as ad-hoc requestsLaunch and monitor background checks for candidatesAdminister onboarding and conduct orientation for all new hiresAssist with the offboarding process, including sending out termination notices and preparing exit interview paperworkAssist with benefits administration, including open enrollment, eligibility changes, answering employee questions, monitoring of weekly eligibility files, and ensuring accurate payroll deductionsReconcile monthly invoices from insurance carriersOversee New York Public Radio's wellness program, including the scheduling of events and maintenance of annual wellness budgetCreate, maintain and update electronic personnel files and maintain an up-to-date organizational chartProvide employment verification letters and respond to verbal verification requestsRecruiting Operations:Along with Recruitment team, monitor temporary employee end dates and effectively communicate with other departments surrounding assignment lengthSend weekly notice of open roles to former employeesMaintain excellent and timely communication with the Recruitment Team on new hire and onboarding information, employment extensions and open roles, and proactively surfacing any challenges that ariseEmployee Engagement and Training:Plan, organize and support events and meetings including manage logistics, catering and food delivery and communicationsManage and track annual mandatory anti-harassment training for all employees along with other trainings as neededProvide administrative support for the internship programDepartmental Support:Ensure timely processing of contracts and invoices with proper approvals; track expenses against budgetOrganize and secure highly confidential company and employee information; create and analyze reports as neededMonitor the HR email inbox for inquiries with the ability to triage and respond to employee inquiries and questionsResearch, plan, manage and support HR departmental projectsProvide administrative support or backup to department staff as neededQualificationsAt least 3+ years of work experience supporting an HR department and a working knowledge of HR related laws and best practicesExperience and proficiency in using an HRIS, experience with Ultipro (UKG) a plusExperience in using Microsoft Office applications (Outlook, Excel, Word, PowerPoint) and Google SuiteComfort working in spreadsheets and analyzing informationDemonstrated success managing multiple projects and deadlines concurrentlyStrong attention to detail with a focus on precision and the ability to self-proof work so it is largely free of errorsAbility to operate independently and own parts of the HR workflow, and also effectively collaborate with HR team members and the wider New York Public Radio staffExcellent communication skills—both oral and writtenStrong work ethic demonstrated through responsiveness, following-through on commitments, accuracy and dependabilityDemonstrated ability to work with confidential information with a high level of discretionAdditional Role InformationThis is a full-time role with an hourly rate of $38.46-$43.96 (annualized $70,000-$80,000 at 35 hours per week) along with a full benefits package. Compensation offered within this range is determined by skills, experience and organizational pay equity.
