An "Experience Logistics Leader" is a role that combines elements of event planning, coordination, and leadership, with a specific focus on enhancing the overall experience of an event or meeting. Experience Logistics Leader focuses on the overall ambiance, interaction, and engagement aspects of an event. They are responsible for designing experiences that resonate with the audience, incorporating elements like interactive sessions, immersive technology, and thematic decor. They work closely with other team members, like planners, designers, and technical staff, to ensure a cohesive and engaging event experience. Their goal is to create an environment that not only meets but exceeds the expectations of attendees, making the event memorable and encouraging future participation. This role requires a blend of creativity, organizational skills, and a keen understanding of audience preferences and event trends.

Onsite Event Management: Collaborate with the conference team to promptly identify and rectify any onsite issues. Confirm that room requirements like lighting, temperature, AV equipment, and room setup meet or exceed client expectations. Experience Design: Developing and implementing creative ideas to enhance the overall attendee experience. This could involve thematic elements, interactive components, or unique engagement strategies. Venue Coordination: Managing event venues that are suitable for the experience goals, including layout planning, accessibility considerations, and ambiance creation. Partner with: Meeting Contract Team for space, food, beverage, transportation, and other unique requirements,Communications Team for internal/external communications, event design and graphics needs such as themes, logos, invitations, booklets, and signage.Company Store Team for logoed merchandise and meeting supplies while managing and allocating the event's budget.Learning/Training and Agency Services Team for resource and education needs.
Planning and Communication: Lead planning meetings with the business and coordination partners, emphasizing communication and organization. Ensure contracted services, such as hotel bookings and food/beverage orders, are delivered as agreed upon. Review banquet event orders (BEOs) before group arrival and resolve any issues that might arise. Vendor Management: Coordinating with various vendors (e.g., caterers, decorators, AV technicians) to ensure that their contributions align with the event's experiential goals. Technology Integration: Utilizing technology to enhance the event experience, which could include digital check-ins, interactive displays, or event apps. Organize and maintain comprehensive meeting documentation for reporting and post-event analysis. Attendee Engagement: Developing strategies to engage attendees before, during, and after the event, ensuring their active participation and overall satisfaction. Feedback Collection: Implementing methods to collect attendee feedback to assess the event's success and identify areas for improvement. Budget Management: Overseeing the budget for experiential elements, ensuring cost-effectiveness without compromising the quality of the attendee experience. Risk Management: Anticipating and preparing for potential problems that could impact the attendee experience, including having contingency plans in place. Team Coordination: Working anyone associated with event ensuring everyone is aligned with the event's experiential goals. Position Requirements Education Bachelor's degree in Event Management, Business Administration, or a related field ore equivalent experience preferred
Experience Previous onsite event management experience a plus
Knowledge, Skills, and Abilities Being able to think outside the box to create unique and memorable experiences. Keeping track of multiple components of an event and ensuring everything runs smoothly. Effective communication with team members, vendors, and attendees. Quickly addressing and resolving issues that arise before or during the event. Paying attention to the small elements that collectively enhance the event experience. Comfort with using and integrating various types of event-related technology. Proficiency in event management software and Microsoft Office Suite. Ability to multitask and manage multiple projects simultaneously. Physical Requirements & Work Conditions Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
Ability to stand or sit constantly/continuously.
Hearing. Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound.
The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.
