Are you ready to propel your career to new heights? Join our team as a Contract Project Coordinator in the dynamic field of executive search. You'll play a pivotal role in managing high-quality search engagements, working closely with top-tier clients and C-level candidates. This position is perfect for someone who thrives in a collaborative environment and excels in managing multiple responsibilities with precision.
Key Responsibilities:
Client and Candidate Interaction: Serve as the primary administrative point of contact. You will maintain business relationships with utmost discretion and sensitivity, involving direct interactions with senior executives.
Scheduling and Coordination: Handle intricate scheduling of meetings, conference calls, and video conferences across various time zones. Coordinate all travel arrangements (domestic and international) and manage client and team meetings with keen attention to detail.
Project Support: Assist with candidate research, scheduling, background and reference checks, and preparation of benchmarking reports. Support the drafting and proofreading of engagement letters and candidate reports.
Business Development Support: Aid in creating and editing pitch materials, conducting light executive background research, and maintaining a robust business development contact list. Coordinate strategic trips and provide logistical support for events.
Search Management: Take proactive charge of the search process, maintaining documentation, coordinating interviews, and managing weekly status calls with clients.
Administrative Duties: Manage the business calendar, travel schedules, and search activity logs. Oversee accounting functions related to search engagements and ensure smooth operation within the team.
Professional Experience/Qualifications:
A minimum of 5 years of relevant experience, with exceptional oral and written communication skills.
Demonstrated ability to manage a high-volume workload efficiently and meet tight deadlines in a collaborative, team-oriented setting.
Strong organizational skills with meticulous attention to detail.
Proficient in Microsoft Word and PowerPoint, with experience handling a high volume of document generation.
Experienced in making travel arrangements and managing daily interactions with clients, including high-level executives.
Ability to work independently with minimal supervision, adaptable to changing priorities.
Education:
Bachelor's Degree required.
