Job Summary The University of Advancement at UM-Flint is looking for candidates for the position of Administrative Specialist. Candidates for this position must have the skills and experience needed to provide responsible and effective support in a leadership setting. You will perform a variety of administrative responsibilities to support the daily operations of the unit; assist with planning; monitor information about operating policies and procedures; and coordinate staff personnel matters. Important skills include accuracy in writing, managing calendars, scheduling meetings, excellent customer service, and the ability to handle confidential matters. You will need to work on several projects at one time, meet deadlines, and support units across the campus. You will report to the Vice Chancellor for University Advancement.

Responsibilities* Provide basic support to the Vice Chancellor (VC) on a daily basis and on special projects when needed. Manage the calendars of Vice Chancellor and team members. Schedule VCs virtual and in-person meetings with multiple attendees with challenging schedules and communicate logistical support such as agendas, AV, PowerPoint slides and meeting materials. Facilitate communication between executives, team members, clients, and other stakeholders, keeping them informed of schedule updates. Manage the flow of projects and issues requiring either near-term responses or anticipatory preparations related to the VC/University Advancement projects. Manage daily operations, including: answering phones, greeting guests, xerox, supply orders, mail, financial reports, purchasing/invoices, budget transfers, draft letters/emails, and staff Concur expense and travel reports. Maintain policy and procedure documents and ensure they are communicated to University Advancement staff. Provide Human Resources support, including: DBEs, new job postings, monitoring/approving staff timekeeping, assisting with preparation of employee evaluations and merit award letters. Maintain University Advancement staff personnel files. Help organize events, ensuring contracts are complete and accurate and all logistical details are well-managed. Engage and participate in other tasks and activities as a member of a highly-functioning team that collaborates and supports each other in an inclusive and caring environment. Required Qualifications* High School Diploma or equivalent 3 or more years of progressively-responsible administrative experience 1 or more years of experience with higher education and professional business work environments including the ability to maintain a customer service focus. Demonstrated discretion when dealing with confidential information Work Schedule Hybrid: A consistent hybrid work schedule (some days on campus and some days working remotely) is available for this position at this time. However, this is subject to change based upon the duties of the position and the needs of the department.
