Intent & Definition: The Lathrop – Manteca Fire District is seeking a highly motivated individual with strong interpersonal and administrative skills. We are soliciting applications to establish an eligibility list for current and/or future vacancies with the Administrative Assistant classification. The Administrative Assistant I is a non-exempt position that is responsible for performing a wide range of clerical and administrative tasks to support the daily office operations of the Lathrop Manteca Fire District. The Administrative Assistant I learns to perform and performs routine and complex tasks and duties assigned to class of Administrative Assistant I series by providing office, clerical and administrative support to management staff, and other staff, in one or more departments as needed; interprets and applies policies, procedures and work methods associated with assigned duties; performs other related duties as required.
The Fire District: The Lathrop – Manteca Fire District is located in the spacious San Joaquin Valley about 50 miles east of San Francisco. It was formed in 1936 to provide fire protection for the rural farmland and the unincorporated communities in the South San Joaquin Valley. Today, the District is a full service organization that operates out of five fire stations to serve all of the City of Lathrop and the rural and unincorporated areas of Manteca.
Examples of Essential Duties: Serve as office receptionist; greet visitors, provide information to the public, refer visitors and callers to the appropriate person, answer the telephone, and receive and transmit messages. Maintain inventories of informational materials in order to direct visitors to the appropriate parties within the Fire District.  Receive, sort and distribute mail.  Operate a computer, use of Microsoft Word, Excel, and Power Point and other software that may be required to perform Fire District office tasks.  Type and proofread documents. Perform a variety of general and basic office assistant assignments such as filling, collating and basic data entry. Manage the schedule for the District's conference and training rooms. Receive and record miscellaneous payments; assist with basic office records management and tabulate.  Prepares a variety of documents and forms, including general correspondence, reports, orders, agenda packet materials, billing registers, and memoranda.  Assist in maintaining complete and accurate records and files such as for the Fire Prevention Bureau.  Provides basic support and assistance to other office departments such as Human Resources, Accounting and Fire Prevention.  Performs other duties as assigned. *Note: The omission of specific statement of duties does not exclude them from the position if the work is similar, related or a logical assignment. KNOWLEDGE/ABILITIES/SKILLS : (The following are examples of the knowledge, abilities and skills necessary to perform the essential duties of the position.) Knowledge of: General office practices and procedures; personal computer systems and general office computer software; fundamental customer service and public relations techniques; problem solving techniques; recordkeeping, report preparation, and filing system methods; principles and practices of basic accounting; business letter writing and presentations; correct use of spelling and grammar; basic cash handling procedures.
Ability to:  Provide general clerical support to one or more departments; Establish and maintain positive public relations and cooperative working relationships; interact with the public in person and on the telephone; work with confidential files; perform a variety of basic clerical tasks such as filling, sorting, and organizing; perform basic accounting functions including payables and receivables; type at a rate of 40 words per minute or greater; follow verbal and written directions; complete basic math calculations; operate a variety of general office equipment such as a telephone, computer, copier, fax machine and printer; be familiar with local streets and locations of public buildings; demonstrate initiative and exercise good judgement in the performance of job duties.
Skill to: Operate standard office equipment, including a computer and variety of word processing and software applications.
Administrative Assistant I Qualifications, Requirements and Desired Items: The appropriate candidate must meet the below qualifications:
Minimum Qualifications: Possession of valid California Class-C Driver's License Legally Authorized to Work in the United States Possession of a high school diploma, GED equivalent, or high school proficiency certificate. Highly Desirable Items: One year of significant directly related and progressive clerical, office reception and/or administrative support experience (preferably related to a local government related field) Knowledge of Emergency Reporting Software Knowledge of QuickBooks Knowledge of Special Districts Special Requirements: A valid California Class C driver's license and the ability to maintain insurability under the District's vehicle insurance program.  Ability to work at night, on weekends and holidays as periodically needed.  Pre-Employment Requirements: May include but not limited to successful completion of a California Department of Justice (DOJ) live scan, background check, medical examination that includes a drug screen, and be legally authorized to work in the United States.

Position requires prolonged sitting, standing, walking, reaching, twisting, turning, kneeling, bending, squatting, and stooping in the performance of daily activities. The position also requires grasping, repetitive hand movement and fine coordination in preparing statistical reports and data using a computer keyboard. Additionally, the position requires near vision in reading correspondence, statistical data and using a computer. Acute hearing is required when providing phone and personal service. The need to lift, drag and push files, paper and documents weighing up to 25 pounds also is required. Work is performed in an environment with constant public contact.

Education: Up to 7.5% of base pay 
Uniform Allowance: $900.00 Annually
Vacation: Based on years of employment
Sick Leave: 18 hours per month
FLSA Designation: Non-Exempt
Probationary Period: Twelve (12) Months; subject to an extension of up to six (6) months.
