Overview:
Join our dynamic team as an Accounts Payable Specialist, where you'll play a pivotal role in managing Accounts Payable transactions for our valued clients. This position is within our Enterprise Team, dedicated to serving our larger clients. You'll have the exciting opportunity to work closely with one major client with multiple locations/entities.
Key Responsibilities:
1. Maintain Client Accounts Payable:
- Accurately and efficiently enter bills from the BILL inbox, managing a substantial volume.
- Keep vendor lists for assigned locations/entities clean and up-to-date.
- Track 1099 information for vendors, including requesting and recording W-9 information as needed.
- Engage with client location managers regarding AP/bill pay matters.
2. Support Bookkeepers:
- Assist Bookkeepers with delegated tasks, particularly AP-related responsibilities.
- Handle tasks such as pulling bank, loan, and credit card statements, as well as monthly payroll reports.
- Conduct reconciliations, including reconciling A/P Aging in Net Suite to BILL software.
- Post bills in the bill pay system (e.g., Bill.com) with utmost accuracy, adhering to client preferences and historical coding.
3. Miscellaneous Tasks:
- Assist in researching client requests and participate in approved clean-up activities.
- Post payments made against open customer invoices, matching them to items in the bank feed if necessary.
- Update client manuals as required for all owned tasks.
Communication:
- Client Communication:
- Maintain timely communication with clients, ensuring a same-day to early next day response time for inbound queries.
- Collaborate with the Accounting Coordinator when support is needed in obtaining information from the client.
- Internal Communication:
- Ensure prompt communication with team members via Slack messages and email, maintaining a same-day to early next day response time.
- Utilize Clickup tasks to update the status of assigned tasks accurately.
- Engage in Clickup comments for task-related communication with team members.
- Participate actively in monthly team meetings and all-staff gatherings.
Job Type: Full-time
Pay Range: $35,000.00 - $40,000.00 per year
